How VELA collects, uses and protects operational and account information.

Information We Collect

VELA collects account information that is required to operate the platform, including your name or display name, email address, login credentials, role, pilot profile, crew status and account preferences.

When you use VELA operational tools, we may process virtual airline data such as assigned flights, roster information, dispatch releases, OFP data, aircraft assignments, check-in status, briefing package activity, weather requests, ACARS messages, flight reports and simulator-related operational records.

If you choose to connect external services, such as SimBrief or similar flight-planning tools, VELA may store identifiers and operational data needed to provide the requested integration. VELA is intended exclusively for flight simulation and virtual airline operations.

How We Use Your Data

We use personal and operational data to provide account access, crew workflows, dispatch functionality, briefing packages, flight planning support, roster visibility, ACARS features and other virtual airline services.

We may use aggregated operational data to improve platform reliability, detect technical issues, analyse feature usage and maintain realistic virtual airline operations. We do not sell personal data.

Where applicable, processing may be based on the performance of the platform service, legitimate operational interests, legal obligations, consent for optional integrations, or another applicable legal basis.

Data Retention

VELA keeps account and operational records only for as long as they are reasonably required for platform functionality, auditability, community safety, operational continuity or legal compliance.

Certain virtual airline records, such as flight logs, dispatch releases and ACARS events, may be retained for historical and operational purposes unless deletion is required or appropriate. Account deletion requests may not remove anonymised or aggregated operational statistics.

When data is no longer needed, we aim to delete, anonymise or archive it in a manner appropriate to the nature of the data and the technical requirements of the platform.

Third-Party Services

VELA may rely on hosting, authentication, database, email, analytics, simulator, flight-planning or infrastructure providers to deliver the platform. These providers may process limited data only where needed for their service.

Examples may include cloud hosting, security services, email delivery, logging tools, SimBrief-style integrations or external aviation data providers. External services are governed by their own terms and privacy practices.

We do not share personal information with third parties for independent marketing purposes. International data transfers, where applicable, are handled according to the safeguards required by applicable law.

Your Rights

Depending on your location, you may have rights to request access, correction, deletion, restriction, portability or objection regarding your personal data. Some rights may be limited where data is needed for legitimate operational, security or legal reasons.

You may also have the right to withdraw consent for optional processing, such as optional integrations, where consent is the applicable legal basis.

Requests will be reviewed in accordance with applicable data protection laws, including the Swiss Federal Act on Data Protection and, where applicable, the GDPR.
